Terms and Conditions

Rev. 1.0 | 02/11/2023

These Service Provision Conditions govern the relationship between Itinerari Speciali (hereinafter, "Agency") and the client (hereinafter, "Client") regarding the organization and management of tours and associated services.

The Agency undertakes to provide the services described in the itinerary agreed upon with the Client, acting as an intermediary between the Client and third-party providers of the services included in the travel package.

By proceeding with the booking of the tour, the Client fully accepts the following conditions, the limitation of the Agency's liability, and the indemnity, assuming all responsibility for their own safety and for any insurance matters, as detailed below.

1.  Object of the Service Provision Conditions
The Agency undertakes to organize and manage the travel services and activities indicated in the itinerary provided to the Client. The Agency is responsible for planning and coordinating the services included in the tour, such as transportation, accommodation, excursions, and activities specified in the itinerary.

2.  Reservations and Payments
Reservation
The tour reservation is considered confirmed only upon receipt of a deposit payment or the full amount based on the terms agreed with the Agency at the time of drafting the itinerary.

Payment Methods
Payments can be made by bank transfer to a local account, by credit card through a payment link, or by other methods agreed with the Agency. In case of payment via payment link, a 3% fee will be applied to cover the online payment service management costs.

Cancellation Penalties
In case of cancellation by the Client, variable penalties will apply depending on the time of cancellation relative to the date of the services offered. The penalties are detailed as follows:

  • Ticketing
    Once issued, it is non-refundable.

  • Consulting fees
When previously agreed and indicated in the quotation, consulting fees are non-refundable.

  • Excursions
_ For cancellations up to 72 hours before the date of the service offered, the Agency undertakes to refund 100% of the amount.
_ For cancellations beyond 72 hours and up to 24 hours before the date of the service offered, the Agency undertakes to refund 50% of the amount.
_ For cancellations communicated less than 24 hours before the date of the service offered or for no-shows, no refund will be granted by the Agency.

3.  Program Changes
The Agency reserves the right to modify the itinerary or tour services if circumstances beyond its control require it, such as adverse weather conditions, logistical issues, or local authority directives. In the event of substantial changes, the Agency will inform the Client promptly.

4.  Exclusion of Liability for Third-Party Services
The Agency uses third-party providers to deliver the services included in the tour, such as transportation, accommodation, activities, and excursions. The Agency acts solely as an intermediary between the Client and these providers and assumes no responsibility for the services provided by third parties, including any delays, damages, losses, or inconveniences arising from the actions of these providers. In case of issues with services provided by third parties, the Client agrees to address them directly with the respective providers.

5.  Support in Case of Issues with Third-Party Providers
In the event of issues with third-party services during the tour, the Agency will provide the Client with direct contacts of the providers and offer assistance in the initial phase of issue management, without assuming any responsibility for the resolution of the service disruption or any consequences arising from the actions of the providers. The assistance provided by the Agency is limited to initial informational and logistical support.

6.  Client Responsibility

The Client is responsible for their own physical and medical fitness to participate in the tour and agrees to comply with safety regulations and the instructions provided by the Agency's guides and representatives or the service provider. The Client also agrees to follow local laws and maintain respectful behavior toward other participants and staff.

The Client hereby declares as follows:

  • To be aware of and accept the risks associated with participating in the tour organized by the Agency, including any unforeseen events, damages, or injuries that may occur during the trip.

  • To assume personal responsibility for their own safety and well-being during the tour and to have taken all necessary precautions, including obtaining travel insurance.

  • To indemnify and hold harmless the Agency, its employees, affiliates, and representatives from any liability, claims, or demands, including legal expenses, arising from participating in the tour or acts or omissions of third parties, accidents, or illnesses occurring during the trip.

  • To accept that the Agency is not responsible for any inconveniences, injuries, or damages arising from participation in optional activities or excursions not directly organized by the Agency or certified providers.

  • To acknowledge that, in the event of disputes or issues regarding services provided by third parties (e.g., transportation, accommodations, or external activities), the Client agrees to contact the provider directly and releases the Agency from any liability in this regard, with the understanding that the Agency will provide initial assistance and the provider's contact information where possible.

 7.  Travel Insurance
The Agency strongly recommends that the Client take out travel insurance that covers potential medical expenses, injuries, luggage loss, and tour cancellation. This recommendation applies to all clients, including those residing in the country where the tour is organized. In particular, residents of the United Arab Emirates must have mandatory medical insurance covering potential medical expenses during the tour. The Agency is not responsible for any additional costs arising from accidents or emergencies during the trip, and the Client is solely responsible for obtaining adequate insurance.

8.  Limitation of Liability
The Agency cannot be held liable for unforeseen events or force majeure such as strikes, civil unrest, natural disasters, or other exceptional circumstances. The Agency is also not responsible for any damages or losses arising from events beyond its control or from services provided by third parties.

Client Acceptance

The Client confirms that they have read, understood, and accepted the contractual terms above and sign them knowingly.
